Title: O.U.C.H. Convention 2008 Update

The deadline for bid submission for hosting the 2008 O.U.C.H. Convention has been extended.  We will now be accepting candidate site proposals until 10/18/2007.  We are preparing a Request for Proposal (RFP) template that contains our convention requirements and a draft Program Schedule.  We are also preparing a Checklist and Proposal template for host teams use in submitting candidate proposals for consideration.  These templates and checklist supplement the guidance O.U.C.H. presently provides at the following link under the title of: “Want to Host an O.U.C.H. Convention?”:

We will post these documents in PDF and MS Word format for download within a week to ten days.  The suggested method for obtaining bids from two or preferably three hotels/lodges in the candidate city is to fill out the Point of Contact information on the RFP and submit it to the local visitors bureau in your city.  They will send out the RFP to all area hotels/lodges with conferencing facilities within shuttle range of the local international airport.  These hotels/lodges will then bid via a proposed contract for our business.  The host team will then assemble the bids, select the best two or preferably three, and submit using the proposal template.

This process insures that host teams have a level playing field, and that we receive the best prices for the proposed conference location.  If the local visitors bureau is unable to provide this service, you will need to take the RFP to candidate hotels/lodges within shuttle range of the local international airport and discussing the requirements with their conference and food services coordinators in order to receive a bid.  They are in business to do this, and should provide you with bid containing an accurate cost estimate or range of estimates depending on the number of attendees.

 Kimberly(Kayarr) Brian and CathiP,  who has sent in the proposal for Portland, told me that her house sits on several acres near the hotel and her and her husband would love to have a BBQ on one of the nights at her place. She has a lovely  patio, so smoking is no problem like it is at the Hotels.. good food, clean air, and her and her husband are master pie bakers.  

One other thing I;'d like to mention is that for Helen and possibly Svenn and Bente who would be coming in from across the Atlantic and the flights would be longer to Portland.....well it seems to me that Helen has a place she can go if she came in ealrier (NY) and so does Svenn (No. Carlolina) and then they could spend some rest/visit (just like last year)  time and then get on a plane the same as anyone one of us would,  and fly to Portland.

The template is a great idea !! Super job. I may just have to throw in a proposal for my local city, Louisville, Kentucky. It really is a nice place with lots to do.

If it's not in Louisville soon, maybe in the future !!

Just to correct this - the cost would be astronomical and out of my reach to do this.

I will not be going to any conventions that are outside of a hub in future.

It crucifies me having to get on more than one plane, I can barely walk after the transatlantic flight as it is and I'm in a lot of pain for a couple of days afterwards. To get to Portland from Sracuse is at least two planes, getting to Syracuse this time took me three flights and was agonising thanks to my crappy bone disease. I could rest here as you say but tell me how I'd do that at a convention?? And tell me why I'd pay out all that money to lie on a bed in a hotel room in pain? Ain't happening!

I won't do that for a three day trip. Simple as that.

I agree with Helen in that for the vast majority of us, it is cost prohibitive to have to take multiple flights across country, let alone across nations to attend a 3 day venue.  For cost considerations of incoming speakers, a major Hub such as Chicago oHare would be ideal.  Multi year commitments to the same site annually would open negotiations to bring down costs dramatically.  People can plan ahead for 1-3 years if need be knowing the location and watch for deals on flights well in advance.

I don't see anything wrong with Chicago as a venue (for example), however, O'Hare airport is HUGE. Everytime I've flown to Portland, it's always me landing at one end of the terminal, and having to hike it all the way to the other end of the terminal, sometimes barely making my connection. Or getting to the connection, and finding the flight has been delayed (very common, due to weather conditions, or overcrowding), or even cancelled.

A place that has an international airport that is smaller would be a big plus in my book.  And I hear ya Helen. It sucks to fly, and then arriving not feeling the greatest, and having to take a couple days to recover is not my favorite thing to do.

Wouldn't a mid western big city place like milwaukee was be the best idea because it is central.
People from the East come and peeps from the west come.

Having a convention where many can make it and there are tons of activities to engage in when there is downtime seems to be the best bet in my opinion.

As much as I love my cigarettes, beer and coffee there needs to be more to do than sitting on a patio chain smoking.

Consider those who do bring kids it is not fair to bring a spouse and infant to a place where they can not even go out for a bite or walk to a mall with a group or alone.

Regardless of where the convention is held, I would recommend that the hotel be within 15 miles of the city. Most people do not drive to the convention and to visit and/or even see the skyline would be a plus. I vote for Nashville.  ;;D

I still think Portland is the place t o go next year. It has lot's to do, downtown isn't far away, or if the hotel is downtown, yer already there. It meets all the criteria for a convention, and there are things to do. For people of all gaes, heights, and gender LOL. The mountains are beautiful, and you can go to Mt. Hood. And the pacific ocean isn't too far away.

I for one would be at the head of the line for a trip to Sydney...  Freemantle and Perth too for that matter...  You see, I'm one Yank that's been down under many times over the last 35 years. I've also been in wild sailing regattas on both coasts and loved every minute of it.  You folks really know how to through a world class bash.

Do you think that the judges would consider it temp insanity?  Just tell them you where getting hit and needed the money for imitrex.

But to be very honest. I know that for a lot of people the west coast is tough, just for the same reasons that the east coast is impossible for me.  I do hope that the convention is in Portland just for the simple reason that I might get a chance to meet even one more CH'er and give my husband a chance to meet another supporter and see that he is not alone in this.  I have no idea what there is to do in Portland. I have not been there yet.  

It woud greatly help if we planned these conventions for 2008 and 2009 this year so that epople could get an idea od cost and maybe get a good air fair planning it a year in advance rather then 6 months at the most.  Then next year with 2009 already chosen people could put in for hosting 2010.  

Just a suggestion.

The perfect politically correct solution is to have a virtual convention - a party in our CPU's for four days. It doesn't cost any more than what each of us pay right now for internet access.

Well Michael I just live up the crick and across the holler from Louisville so I can get you there. (I know you don't have a clue what I am talking about) Ever heard of the Kentucky Derby Horse race? That is in the city of Louisville. In the state of Kentucky. Where I live. We are known for our fast horses and fast women. Oh yeah and bourbon whiskey.......and moonshine and of course, Muhammed Ali. ;;D

Passed through Kentucky many years ago and thought it was the prettiest place I'd ever seen.  Would love to go back there one day.

Perhaps when I retire, I'll just get in my car and tour all of the places I think I'd like to see.

What about Denver? Not in the city but one of the samll towns right outside. The airport is international and I have always had good service there. Colorado is gorgeous in the summer. It's pretty central for most of us. Any one live near there? I guess Sarasota and Philadelphia are out?? DC area has great international airports too but maybe it's too close to Richmond.

I would love to be your tour guide thru the bluegrass state and you always have a place to stay Carol. That goes for anyone. We are retired and live in a big house. Anyone passing thru will always have a room waiting for you.

And I was born there!!  But haven't been back since I was a kid!!  Would actually love to go back to Louisville someday to see what it's like now!  I have memories, but not of downtown Louisville, since I was too young.  I used to live at 2705 Durbing in Jeffersontown and was born at Baptist East Hosp! :)

My old Kentucky home.....humming now....  My dad ran in the Kentucky Derby Marathon. :)  I have pics of him pushing me in the stroller, wearing his race number!  hehe  And I do love some good ole Derby Pie and Mint Julips!  :)

As Cash said - are Philly and Sarasota out?  Is anyone still working on proposals for those cities?  Just curious!!  I never end up being able to go anyway because it's always the end of the week of my family vacation down the Jersey shore!!  But if it were in Philly, I could definitely go!  hehe  Maybe someday!!
